Cancellation Policy

Effective date: August 2026

This Cancellation Policy applies to event bookings made with SL and Company LLC, doing business as Slowleaf Coffee & Tea. In this policy, “Company,” “we,” “us,” and “our” refer to SL and Company LLC. This policy explains the refund, credit, rescheduling, custom-item, guest-count, and Company inability-to-perform procedures that apply unless a written agreement for a specific event states otherwise.

Cancellation Notice

All cancellation requests must be submitted in writing by email to info@slowleafcoffee.com. The applicable cancellation period is determined by the date on which the Company receives the written cancellation request.

Deposit Refunds

The following refund schedule applies to the booking deposit:

  • Cancellation received 30 or more calendar days before the scheduled event date: the deposit will be refunded in full.
  • Cancellation received 15 through 29 calendar days before the scheduled event date: 50 percent of the deposit will be refunded.
  • Cancellation received fewer than 15 calendar days before the scheduled event date: no deposit refund will be issued.

For a cancellation received fewer than 15 calendar days before the event, the Company may, at its discretion, apply the nonrefundable deposit as a credit toward one future booking completed within 12 months of the original event date. A credit is not guaranteed, is not redeemable for cash, and remains subject to Company availability and the terms of the future booking.

Custom Items and Special Preparations

Amounts incurred for nonreturnable or custom items remain payable regardless of when the event is cancelled. These items may include custom-branded cups, signage, printed materials, special-order products, custom-made syrups, or syrups and other ingredients prepared specifically for custom drinks. If an item has already been ordered, purchased, prepared, or made nonreturnable, its cost will not be included in any deposit refund and may be invoiced separately if it exceeds the amount already paid.

Guest Count Changes

The Client should notify the Company as soon as the Client anticipates a material decrease in attendance or another event change that may affect service. Notice of an expected guest-count reduction or possible cancellation should be provided at least 7 calendar days before the event whenever reasonably practicable.

A reduction in guest count does not automatically constitute cancellation and does not automatically create a right to a refund. A material change in guest count, menu, service duration, location, or other event detail may require a revised quote or written agreement.

Rescheduling

The Client may request to reschedule an event by providing at least 15 calendar days' written notice before the scheduled event date. Rescheduling is subject to Company availability and is not confirmed until the Company provides written confirmation of the new date.

A rescheduled event must take place within 12 months of the original event date unless the Company agrees otherwise in writing. Deposits and eligible amounts already paid may be applied to the rescheduled event. Custom items, special preparations, and other nonreturnable costs may not transfer and may be charged again if new items must be ordered or prepared.

If the cost of materials, ingredients, staffing, travel, or other event requirements increases before the rescheduled event, the Company may provide a revised quote or apply a reasonable surcharge. The new date will not be confirmed until the Client accepts any revised terms in writing.

Company Illness or Medical Emergency

If serious illness or a medical emergency affects the Company's owner, barista, or required personnel and prevents or materially limits the Company's ability to perform the scheduled services, the Company will provide written notice to the Client as soon as reasonably practicable. The Company will make reasonable efforts to arrange a qualified replacement, reschedule the event, or provide another reasonable alternative.

Weather and Outdoor Conditions

For an outdoor event, if severe rain, lightning, extreme heat, extreme cold, flooding, or another unsafe condition prevents or materially limits service, the Company may offer an indoor location, a covered backup location, a qualified replacement service, or a rescheduled date.

The same procedures may apply to venue closure, utility failure, transportation disruption, government action, labor disruption, or another circumstance beyond the Company's reasonable control. The Company will provide written notice as soon as reasonably practicable and will make reasonable efforts to reduce the effect of the circumstance.

Any rescheduling arranged under this section is an exception to the 15-day Client-requested rescheduling notice requirement and remains subject to Company availability. Any refund will be determined under the applicable signed agreement and this Cancellation Policy.

Written Confirmation

Cancellation and rescheduling requests should include the Client's name, event date, and sufficient booking information to identify the event. A cancellation or rescheduling request is not confirmed until the Company acknowledges it in writing.

Agreement and Governing Terms

This policy forms part of the terms applicable to an event booking and should be read together with the applicable quote, invoice, signed agreement, and Terms and Conditions. If a signed event agreement contains a specific cancellation, refund, rescheduling, or weather provision, that provision will control to the extent of any conflict.
