Cancellation Policy

Effective date: October 2026

This Cancellation Policy applies to event bookings made with SL and Company LLC, doing business as Slowleaf Coffee & Tea. In this policy, “Company,” “we,” “us,” and “our” refer to SL and Company LLC. The signed agreement controls over this page and anything else on the website.

A date is held with a signed agreement and a 50% deposit paid at signing. The remaining balance is due 7 days before the event. If an event is booked within 7 days of the event date, the full balance is due at booking. If the balance is not paid on time, the Company may cancel the event and keep the deposit.

Cancellation Notice

All cancellation requests must be submitted in writing by email to info@slowleafcoffee.com. The applicable cancellation period is determined by the date on which the Company receives the written cancellation request.

Deposit Refunds

The following refund schedule applies to the booking deposit:

  • Cancellation received 30 or more calendar days before the scheduled event date: the deposit will be refunded in full.
  • Cancellation received 15 through 29 calendar days before the scheduled event date: 50 percent of the deposit will be refunded.
  • Cancellation received fewer than 15 calendar days before the scheduled event date: no deposit refund will be issued.

Custom Items and Special Preparations

The deposit refund schedule above applies to the full booking deposit. Custom or nonreturnable items, such as branded cups, signage, printed materials, or ingredients prepared for a specific menu, do not reduce that refund.

Guest Count Changes

Guest-count changes need at least 15 days’ written notice before the event. A reduction requested with less than 15 days’ notice does not lower the price.

A reduction in guest count is not a cancellation. A material change in menu, service duration, location, or another event detail may require a revised quote or a written update to the agreement.

Rescheduling

The Client may request to reschedule an event by providing at least 15 calendar days' written notice before the scheduled event date. Rescheduling is subject to Company availability and is not confirmed until the Company provides written confirmation of the new date.

The new date must be within 12 months of the original event date. Deposits and eligible amounts already paid may be applied to the rescheduled event. Custom items, special preparations, and other nonreturnable costs may not transfer and may be charged again if new items must be ordered or prepared.

If the cost of materials, ingredients, staffing, travel, or other event requirements increases before the rescheduled event, the Company may provide a revised quote or apply a reasonable surcharge. The new date will not be confirmed until the Client accepts any revised terms in writing.

If the Company Cannot Perform

If the Company cannot perform the booked services, including because of illness, weather, or another event beyond its control, the Company will first offer a new date or a credit. Amounts paid are refunded only if no workable date is found within 12 months of the original event date. The Company will give the Client written notice as soon as reasonably practicable.

Weather and Outdoor Conditions

Outdoor service needs temperatures between 40°F and 90°F, no rain, wind under 15 mph, and an indoor backup. If those conditions are not met and the Company cannot perform, the section above applies.

Written Confirmation

Cancellation and rescheduling requests should include the Client's name, event date, and sufficient booking information to identify the event. A cancellation or rescheduling request is not confirmed until the Company acknowledges it in writing.

Agreement and Governing Terms

The signed agreement controls over this website, including this policy and the Terms and Conditions. If this page and the signed agreement differ, the signed agreement wins.
